3CX alternatives: when a phone system stops being enough

The short answer

Leave 3CX when the problem is no longer the phone line but the customer: calls in one place, WhatsApp in another, no shared history. Replace it with another PBX if you only need calls. Move to a help desk with calls built in if you need tickets, WhatsApp and one record per customer.

A 3CX alternative only makes sense once you know what is wrong with 3CX for you. If you want a different phone system, you need another PBX or a cloud phone service. If the phone works and customers still get lost between calls, WhatsApp and email, you need a different category of tool: a help desk. This article separates the two, so you do not swap one phone system for another and keep the same problem.

What does 3CX do well, and where does it stop?

3CX is a business phone system sold as a flat yearly licence by simultaneous calls. Its contact centre page lists call queues, skill-based routing, listen-in, live chat, WhatsApp and SMS, and CRM integration. It says there is no per-agent pricing, which suits teams with many extensions. There is also a free edition for up to 10 users that you host yourself.

It stops where a phone system is designed to stop. 3CX’s own WhatsApp guide says the integration answers inbound messages only. A customer must write first and you then have 24 hours to respond, so you cannot start a conversation from it. 3CX also sells no phone numbers or minutes. Its pricing page headline is “Bring your own Trunk & Numbers”, so a second supplier is part of every deployment. Our 3CX pricing guide shows what that adds up to.

Who should leave 3CX?

Leave when the work you do after the call is bigger than the call. These are the signs, in the order teams usually notice them.

  1. Agents ask the customer to repeat themselves because the last call, chat and email sit in three tools.
  2. A missed call sits in a log instead of becoming a task with an owner. Nobody is sure who called back.
  3. WhatsApp is answered from one phone or one shared login, and chats leave when the person does.
  4. You need to start a WhatsApp conversation, for example to remind a customer, and your current tool only replies after they write.
  5. Your reports count calls, but your manager needs to know what customers asked about and whether it was solved.
  6. You run a server, certificates, updates and a trunk, and one person understands all of them.

Two or three of these means a phone system is no longer enough. The last one alone is a hosting problem, and a hosted phone service fixes it without changing what kind of tool you use.

What are the main 3CX competitors?

Searches for “3CX alternative” on 19 October 2026 turn up three kinds of replacement. We name them and leave their prices out, because each vendor changes its plans, so read the vendor’s own page before you decide.

Three kinds of 3CX replacement
KindNames that appear in search resultsChoose it when
Another PBX you run or have hostedFreePBX, VitalPBX, YeastarYou want desk phones, extensions and internal calling, and someone to run it
A cloud communications platformRingCentral, Nextiva, DialpadYou want one vendor for cloud calling, messaging and contact centre, bought through a sales quote
A help desk with calls built inSautiDeskCustomers use calls and WhatsApp and you need one ticket and one owner per customer

The first kind replaces one phone system with another. The second moves calling to a vendor’s cloud. The third changes the unit of work from the call to the customer.

What does staying on 3CX cost?

For a company that wants a PBX, 3CX covers the standard list: queues, IVR, call recording, apps and live chat, on a licence sized by simultaneous calls instead of seats. The cost sits in the parts around it: a trunk, hosting or a server, and whoever installs it. The edition you pick moves the price. At 8 simultaneous calls, 3cx.com lists $300 for Basic, $395 for PRO and $575 for AI, and 8 simultaneous calls allows up to 40 users.

Add the lines before you compare. The 3CX pricing guide shows the licence, hosting and trunk lines side by side with a worked 12-agent example.

When is a help desk the better 3CX alternative?

When your day is mostly conversations with customers rather than extensions. A help desk makes every call, WhatsApp message, SMS, email and web chat part of one ticket for one customer. SautiDesk does this and includes the calling: agents answer in the browser with a headset, Basic includes one business number, and extra numbers are KES 500 a month each.

How common support situations work in SautiDesk
SituationIn SautiDesk
A customer calls, then messages on WhatsAppOne ticket per customer, with the call and the chat in it
A call is missedA ticket with an owner, so someone calls back
An agent leavesThe history stays on the ticket and the shared WhatsApp number stays in the workspace
A supervisor wants to see the floorLive floor view and listen-in on Pro
The manager asks what people contact you aboutOutcomes on every ticket, with reports by agent, channel and outcome on Pro

How do the costs compare?

They are built differently, so compare totals, not rates. 3CX is a flat annual licence in dollars plus a trunk plus hosting. SautiDesk is KES 1,000 per user a month on Basic and KES 3,000 on Pro, with the owner free, one number on Basic, KES 500 a month per extra number, and outgoing calls at KES 0.05 per second from a prepaid balance. Incoming calls are free. You can pay by M-Pesa or card.

For 12 people besides the owner that is KES 12,000 a month on Basic or KES 36,000 on Pro, before calls. The 3CX equivalent is a licence of $395 a year for an 8-call PRO system, plus $295 for 3CX hosting, plus your trunk. Those are different currencies and different scopes, so put your own trunk quote next to them. The 3CX pricing article walks through the sum.

Can you keep 3CX and add a help desk?

Yes, and for some teams that is the right first step. If desk phones and internal calling work well, leave them and put customer conversations in a separate tool. The cost is a second system: customer history is then split between the PBX and the help desk unless you connect them. If that gap is what hurts today, moving the customer-facing calls into the help desk closes it. A PBX stays useful for the extensions that never talk to customers.

What changes when you move?

Customers call a business number as before. Agents answer from a browser with a headset, so there are no desk phones or servers to run. The pieces to plan are your numbers, your WhatsApp number, your queues and your outcomes. Basic has one queue, one number and one email address. Pro adds as many queues as you need, your own outcomes, a live floor view, listen-in and reports.

  1. List every number customers use today and who answers each.
  2. Decide which WhatsApp number moves to the shared inbox. See the WhatsApp setup.
  3. Pick Basic or Pro. If you have supervisors or more than one queue, you need Pro.
  4. Invite agents and run the new number alongside the old one for a week.
  5. Move the number when missed calls and handovers look clean.

What should you ask any 3CX alternative vendor?

Put the same questions to every vendor, including us, and write the answers next to each other.

  • What is the monthly total for my headcount, my numbers and my expected call minutes, in the currency I will be billed in?
  • Who sells the phone number, and what happens to it if I leave?
  • Can an agent start a WhatsApp conversation, or only reply once the customer writes?
  • Does a missed call become a task with an owner, or a line in a log?
  • What does a supervisor see live, and which plan includes it?
  • How long are recordings and history kept, and what does extra storage cost?

Good questions

It depends on the problem. For another phone system, FreePBX, VitalPBX and Yeastar come up in search. For a cloud platform, RingCentral, Nextiva and Dialpad do. For tickets, WhatsApp and calls in one customer record, use a help desk with calls built in, such as SautiDesk.

Five channels. Zero customers lost.
